I started integrating Gemini into my daily routine, and it boosted my productivity in no time

Whether it’s Gemini, Copilot, ChatGPT, or Grok, these AI models promise to change how we work. But for most of us, that felt more like a goal than a daily reality.

Being a Google Pixel 8 user, I decided to give Gemini a serious shot.

As someone who constantly jumps between Google Keep, Tasks, Docs, and a steady stream of tech drafts, I was looking for a way to bridge the gap between fragmented ideas and complex spreadsheets.

In this post, I will break down exactly how I integrated Google’s AI into my morning-to-evening schedule to reclaim my time and boost my professional output in no time.

I thought Google Docs was enough until I paired it with Gemini

The secret weapon for flawless documents

Using NotebookLM with Gemini as a second brain

NotebookLM integration in Gemini

If NotebookLM is my digital library, Gemini is the master researcher who has read every book on the shelf.

Now that NotebookLM integration is available in Gemini, I can upload my notebooks right into Gemini and start asking questions from the same interface.

Most people use NotebookLM to analyze a specific set of documents. But as my research grew, I started hitting a wall: I had separate notebooks for Tech Hardware, Software Reviews, and Freelance Contracts.

By uploading these NotebookLM notebooks directly into Gemini, I uploaded a cross-contextual superpower. After all, now, I’m not limited to one project at a time.

I can upload multiple notebooks simultaneously and start asking questions. I often use Gemini to compare data between notebooks.

Enabling Google Workspace integration in Gemini

using Gemini to find information from Google Docs

To truly turn Gemini into a daily driver, I enabled the Google Workspace extension and gave it a key to my digital office. It can now pull insights directly from my Docs, Drive, and Gmail.

Now, Gemini doesn’t just know what’s on the web; it knows what’s in my files. It only took a few seconds to flip the switch, but it changed everything.

Instead of digging through a long meeting note from a client, I simply ask: @Google Docs, what were the final three requirements in the Swami Jewels document?

Gemini scans the document and gives me a bulleted list in seconds.

Similarly, I can ask Gemini to pull my latest credit card bill from HDFC Bank and receive the due date and final amount in no time. The possibilities are endless here.

I highly recommend enabling the Google Workspace toggle and asking specific questions to receive answers.

Why ChatGPT still feels more complete

Utilizing Gemini with Google Tasks and Keep

use Gemini to pull information

Integrating Gemini with Google Keep and Tasks was the final piece of the puzzle for me.

Now, instead of manually toggling between apps to stay organized, I use Gemini as the central command center for my to-do lists and brainstorms.

The biggest friction in any productivity system is the act of actually entering tasks.

If I’m in the middle of a deep-dive research session and realize I need to follow up on a software lead, I don’t stop what I’m doing.

I simply prompt Gemini: Add a task to check the Antigravity tool documentation tomorrow morning. It instantly synced to my Google Tasks.

I have started using this for everything from deadline reminders for my blog posts to simple household chores.

I also use Gemini integration in Google Keep to create new lists. It even goes a step ahead, where I can get relevant information from my Keep note right from the Gemini integration.

The most powerful feature, however, is the ability to pull specific information out of my existing notes without scrolling through hundreds of entries.

Now, I can ask Gemini Which items do I have in the kitchen? and it pulls the list from my detailed note.

By connecting these dots, I have stopped spending my time managing my tools and started spending it using the information within them.

My Gemini workflow with Sheets and Slides

Gemini creating tables in Sheets

After you subscribe to a relevant plan, Gemini should start appearing in Docs, Slides, and Sheets. Among them, I use Gemini in Slides to create new slides all the time.

I can add a prompt and ask Gemini to create a slide. It’s not perfect every time, but I can always make small tweaks and get it right.

Gemini in Google Sheets is even more effective than I initially estimated.

Now, I no longer rely on pivot tables and charts to analyze the data. I can fire up Gemini and ask it to generate a chart or get me key details based on the current table.

I can even create new tables with relevant columns with just text prompts in Gemini. Check out my separate post to learn more about using Gemini in Sheets.

Beyond the hype

Overall, integrating Gemini into my daily routine hasn’t been about replacing the work I do, but about removing the hurdles that used to slow me down.

Thanks to Gemini, I have found more space for the high-level creativity and deep thinking that actually matter.

If you have been on the fence about making AI a permanent fixture in your workflow, it’s time to start treating it as a collaborator.
