Gmail is not a to-do app
It’s not meant to track deadlines and actionable tasks
For all the productivity features and integrations that Gmail offers, it’s first and foremost an email service — and it nails that part. The problem is that the actionable items and deadlines are buried inside long email threads. Gmail can sometimes smartly surface relevant information and emails, but it cannot act as an email-to-do app.
For a while, I relied on starring and snoozing emails in Gmail to keep track of deadlines. But that approach did not scale well as my workload grew and the volume of incoming emails climbed.
When 30–40 new emails arrive daily in your inbox, it’s not feasible to manually add the important ones to your to-do app. Some plugins help solve this problem, but again, the manual process is not scalable and requires considerable time.
This is a bigger problem than it might seem. Clients often slip deadlines into the tail end of long email threads. Other times, it’s a reminder about an upcoming subscription renewal I need to cancel or a bill due in a couple of days.
In the middle of a busy workday, I rarely have the bandwidth to stop and add each of these tasks to my to-do app or calendar. All this results in missed deadlines, late payments, and subscription renewals that should have been canceled weeks ago.
The simple Gemini connection that fixed everything

The fix for the problem turned out to be a simple Gemini connection. Google’s AI-powered assistant is heavily integrated into Gmail and the entire Workspace suite. It even features Google Tasks integration, enabling Gemini to pull information from my inbox and add it to Tasks.
Every morning, I start my day by triggering Gemini and asking it to surface actionable tasks based on my emails from the week. So far, it has done a fantastic job, pulling together project overviews, upcoming deliverables, and pending action items.
The only real bummer is that I can’t tell Gemini to ignore emails from PR agencies, which still sneak into the briefing more often than I’d like.
After getting a project overview for the week, I ask Gemini if there are any important upcoming deadlines I need to be aware of. Gemini scans my Gmail inbox and surfaces all important dates along with the relevant emails.
Google’s AI tool sometimes surprises me by surfacing deadlines I would have otherwise missed. And it all happens within seconds and requires minimal effort on my part. Instead of starting the day digging through important or unread emails, I jump straight to doing work that actually matters.
Gemini surfacing the relevant emails and deadlines is only part of the equation, though. The real magic kicks in with Gemini’s Google Tasks connection. Once I review the list of important deadlines, I ask Gemini to directly add them to Google Tasks, complete with due dates and the original email as context.
All this happens with a simple voice command. No copy-paste, no app switching, and no manual effort. To take things further, you can use Gemini Scheduled Actions to automate the entire process to run every morning.
Once a month, I use Gemini to pull up every subscription renewal and billing notice coming up in the next 60 days. After reviewing the data, I ask Gemini to add the important renewal dates to Google Tasks, so I don’t forget to cancel services I no longer use or budget for big bills.
The whole process takes a few seconds, and it has already ensured that I canceled two free trials before they auto-renewed into paid plans.
Similarly, every weekend, I trigger Gemini in Gmail and ask it to “Find emails from clients in the last two weeks where I owe a response or deliverable.” This works surprisingly well and has become my go-to way to catch anything that slipped through the cracks during a busy week.
After Gemini surfaces the list of relevant emails, I ask it to push the pending deliverables straight into Google Tasks, using the due dates from the original emails as deadlines.
Thanks to this Gemini connection, when I start on Monday morning, I know exactly what high-priority emails I need to reply to or follow up on.

My Gmail inbox finally works for me
Gemini has helped make my Gmail inbox more manageable. It’s still chaotic, and I still miss out on long, important emails. But I no longer dread the task of going through my inbox every day to find urgent emails and tasks to act on.
A simple connection to Google Tasks has helped bring order to all that chaos. More importantly, I no longer miss out on important emails and deadlines because I couldn’t keep track of them in long email threads.
